3DMAI is a trading name of Lane Marketing. We operate the website at 3dmai.co.uk and provide commercial intelligence tools for SME owners.

2. What Data We Collect

Contact Forms

When you submit a contact form, free tool request, or email sign-up on this website, we collect:

• Your name (if provided)
• Your email address
• Your message or enquiry
• The tool or service you requested

This information is used solely to respond to your enquiry or send you the requested resource. It is processed via Netlify Forms and is not shared with third parties except as described below.

Business Data Entered Into Free Tools

When you use our free calculators and tools, any financial or business data you enter is processed entirely within your web browser. This data is never transmitted to our servers, never stored, and we have no access to it. It exists only in your browser session.

Financial Data Uploaded by Subscribers (CSV upload)

Subscribers can upload accounting data — such as a profit and loss report or aged debtors report exported from their accounting software — to generate commercial analysis via the 3DMAI Command Centre.

When you upload financial data:

• We extract the key financial figures needed for analysis (revenue totals, margin, cost categories, debtor and creditor totals)
• We strip identifying information — individual customer or supplier names — before any data leaves our system
• The extracted, anonymised figures are passed to our AI processing service (Anthropic Claude) to generate your commercial analysis
• Your raw uploaded file is deleted immediately after the figures are extracted
• Extracted financial figures may be stored in your account to enable historical comparison and track the outcomes of recommendations
• We do not share your financial data with any third party other than our AI processing service
• Anthropic does not use your data to train AI models — their zero data retention policy applies to all API usage

Lawful basis: Contract performance — processing your financial data is necessary to deliver the commercial analysis service you have subscribed to.

Purchased Tools (Excel Buy & receive by emails)

tools you download are used entirely on your own device. 3DMAI has no access to any data you enter into downloaded spreadsheets.

3. How We Use Your Data

• Email address: To deliver requested tools, respond to enquiries, and send occasional commercial insight from 3DMAI (with your consent)
• Contact form submissions: To respond to your message and provide the requested service
• Tool requests: To identify which tool to send you via our automated delivery system (Zapier)

We do not use your personal data for automated decision-making or profiling.

4. What We Do NOT Do

• We do not sell, rent, or share your personal data with third parties for marketing purposes
• We do not store the business or financial data you enter into our online tools
• We do not use cookies for advertising or tracking (we may use essential cookies for site functionality)
• We do not transfer your data outside the UK/EEA without appropriate safeguards

5. Data Storage & Security

Contact form submissions are processed via Netlify (a US-based service operating under GDPR-compliant data processing agreements) and delivered to our secure email account. Email communications are stored within our email service provider's servers.

We retain contact information for up to 3 years from last contact, unless you request deletion earlier.

Our website is served over HTTPS (SSL encrypted) at all times.

6. Third-Party Services

We use the following third-party services which may process limited data:

• Anthropic (Claude AI) — powers the commercial analysis and recommendations in our subscriber tools. Anonymised, de-identified financial figures are passed to Anthropic's API. Anthropic does not use this data to train AI models and operates a zero data retention policy for API usage. Anthropic's privacy policy is available at anthropic.com/privacy
• Outseta — subscriber account management, authentication and billing. Handles your name, email and subscription details
• Netlify — website hosting and form submission processing
• Google Analytics (GA4) — anonymised website usage data to understand how our tools are used. No personal financial data is passed to Google Analytics
• Microsoft Clarity — anonymised session recording to improve the user experience. No personal financial data is recorded
• Titan Email / Google Workspace — email communication

Each of these providers operates under their own privacy policies and GDPR-compliant data processing agreements. We do not store your card or payment details — these are handled entirely by Outseta and their payment processor.

7. Your Rights (GDPR)

Under UK GDPR, you have the right to:

• Access — request a copy of any personal data we hold about you
• Rectification — request correction of inaccurate data
• Erasure — request deletion of your data ("the right to be forgotten")
• Restriction — request that we limit processing of your data
• Portability — request your data in a portable format
• Object — object to processing based on legitimate interests
• Withdraw consent — unsubscribe from marketing communications at any time

8. Cookies

Our interactive tools use browser sessionStorage to temporarily save your progress within a single browser session (for example, your checklist progress). This data is stored only on your device and is automatically deleted when you close your browser. It is not transmitted to us.

We do not use advertising cookies or third-party tracking cookies.
